Job Description
Job Summary
As the Events Executive you are responsible to assisting the Director of Catering & Events in achieving the Catering & Events Budget in your Hotel and maintaining the Opera system as per the standard. You will also be responsible of maintaining the high standard of communication flow within the Hotel on all Events booked by the Department.
General Duties and Responsibilities
• Establish and maintain an active relationship with our main bookers to increase customer satisfaction and business to Rotana Properties as well as maintain a close communication with all Rotana Outbound Sales and Area Sales Offices in order to working as one team on leads and achieving loyalty of Guests to Rotana Hotels & Resorts
• Maintaining an active relationship with bookers via occasional or necessary visits, sales calls and whichever activity is requested by Director or Assist Director of C&E.
• Ensure your performance of IFH Mystery Calls is as per the Rotana Standard and your overall Result does not drop below 85%
• Attend daily briefings for the Catering & Events Department and weekly briefings with Food & Beverage Operations and Kitchen Department
• Ensure that all incoming requests are handled jointly with the concerned Sales Person and as per the Rotana Standards including an active follow up on sent offers
• Ensure that all incoming requests are handled as per Rotana standard procedures and in timely manner. Make sure that the request is qualified properly in order to quote suitable and appropriate rate
• Quoting and negotiating rates as per set guidelines.
• Maintain proper filling system for all events including signed contracts and LPO (when necessary). Updating the system accordingly whenever there is any change in the revenue and make sure this is updated either as per amended proposal or final signed contract.
• Satisfy the need of the clients whilst optimizing Hotel revenue through strategic yield management and up selling of Hotel facilities and service
• Supervise and assist with Banquet Operations before, during and after events and assure Guest satisfaction throughout the event
• Actively ask for Guest feedback during and after the event and encourage the Guest to submit the Guest Satisfaction Survey
• Promote efficiency, confidence, courtesy and an extremely high standard of social skills and live by example towards your Colleagues of Rotana Hotels & Resorts
• Maintain detailed product knowledge of the property you work in, as well as general product knowledge of all major Hotels and direct competitors in your city
• Ensure to forward all irregularities that you encounter in your Department or any other Department of your Area to the Director of Catering & Events in order to maintaining Rotana Standards & Policies and to maximise Customer Satisfaction
Environment, Health & Safety Responsibilities
• To comply with all policies and procedures of EHSMS.
• Ensure relevant EHS information is provided to all colleagues in an appropriate manner.
• Ensure colleagues within the section are following EHS policies and procedures.
• Monitor the colleagues are handling / using all provided resources, facility and tools in a safe manner.
• Assist in identification of risks/aspects, implement corrective action and arrange monitoring where required.
• Provide sufficient supervision through technical guidance and support.
• Ensure facilities are appropriately provided for safe storage, handling and transport of hazardous substance.
• Make sure to report all incidents and injuries to the Department Heads / Section Head.
Skills
Education, Qualifications & Experiences
You should ideally have a degree in the hospitality field with previous experiences in catering sales within a hotel. Excellent written and verbal English communication skills and strong interpersonal and negotiations skills are essentials. Computer literate and previous experiences with Opera are an advantage.
